Step-by-Step Guide for Writting to MEPs

To help the schoolchildren in France simply follow the steps below to write to your MEPs.

Step 1. Obtain MEPs Details

The first thing you need to do is obtain your MEPs contact details. Go to our MEP Details page to begin your search.

When getting your MEP email details also get their telephone numbers so you can follow up your email with a call.

Step 2. Download Sample Letter

OK, you got your MEPs details (did you get at least 7 MEPs' details?). Download the Microsoft Word document Constituent MEP Letter (doc 24.5 KB) and then proceed to the next step.

Step 3. Insert MEP Details

You know need to add MEPs details, that you obatined from step 1, in to the letter. You will also need to insert the date. The letter contains fields that indicate what needs to go where. Simply click on the fields and begin typing the information for that field (the instructive field text gets deleted as you begin typing). The image below shows the two fields (date and MEP's name) found at the top of the letter (indicated in red here but not in the letter).

Step 4. Insert Your Details

Now you need to insert your details (name, address, e-mail address etc). You will find 3 fields to insert your details at the end of the letter.

Step 5. Post/E-mail the Letter

Save the letter with the changes you made. Now simply print and post the letter or using your own e-mail account e-mail the letter to your MEPs.

If you are e-mailing the letter we recommend that you copy and past the letter content into the e-mail message body instead of sending it as an attachment as these sometimes get blocked and it is also more convenient for the recipient.

We also recommend that you e-mail your MEPs individually unless you have more than ten, in which case see word of advice below.

Word of Advice

When E-mailing more than one recipient it is good Netiquette (RFC 1855) to use the Bcc: field than to dump all the addresses in the To: or Cc: fields. Using the Bcc: field the recipient doesn't see all the other e-mail address the e-mail has gone out to, just his own.

Step 6. Forward Replies Received from MEPs to UNITED SIKHS

So we can monitor the current situation of the campaign we would appreciate it if you could forward any replies you receive from MEPs to your nearest UNITED SIKHS Office.

Forward e-mail replies to eurocampaign@unitedsikhs.org, putting Forwarding MEP's Reply in the e-mail's subject field.
